Our process

Petroleum procurement process

Contact us with a clear inquiry

Provide a concise description of your request, your role in the transaction, and all relevant details (destination port, FOB or CIF preference, payment method, quantity, and any specific requirements).

Introduction call with the seller mandate

We arrange a brief alignment call with the seller mandate to clarify the request, and outline the next steps. This ensures everyone is aligned before moving into verification and scheduling.

Preliminary verification

We review your documents (CIS, mandate if applicable, and proof of financial capacity) to confirm that all requirements are met before moving forward. This step ensures we only proceed with qualified and legitimate buyers.

Refinery visit & on-site CI signing

The buyer visits the refinery to verify the facilities, review all documents in person, meet the refinery director, and sign the Commercial Invoice on-site, no sensitive documents sent by email.

Copper procurement process

LOI submitted & SCO issued

The buyer submits a clear LOI. The supplier reviews it and issues the SCO for signature to confirm the basic terms.

Alignment call + FCO signature

Once the SCO is signed, we organize a short call between buyer and supplier to align on the final terms. The supplier sends the FCO, and the buyer signs it.

SPA signed + Invitation letter issued

After both parties sign the SPA, the supplier issues the official Invitation Letter and starts the visa process for the buyer’s visit.

On-site verification & financial instrument

The buyer travels to the manufacturing site, verifies all documents and operations in person, and then issues the required financial instrument to initiate production.

Disclaimer

In commodity markets, processes are defined by the sellers, not by intermediaries or buyers.

At Vendis, we work exclusively with procedures that are simple, transparent, and designed to protect both parties, ensuring efficiency, compliance, and verified security at every step.

As intermediaries, our responsibility is to maintain the integrity of these processes and safeguard all stakeholders.

For this reason, any buyer attempting to modify, bypass, or reinvent the established procedures will not be accommodated.

We only proceed with partners who respect the framework set by the sellers and who understand that following the process is essential for safety, legitimacy, and successful execution.
